Erasmus Without Paper

The University of Applied Sciences Potsdam is gradually introducing the university-wide digitisation project Erasmus Without Paper in order to reduce the administrative burden for both students and universities.

Digitalisation for Erasmus+ international mobility

The University of Applied Sciences Potsdam sees itself as a university with a holistic international orientation. Internationalisation is therefore of great importance for the future, long-term development of all areas of the university. The university's participation in the Erasmus+ programme is related to this.

European Student Card Initiative

The Erasmus+ programme aims to promote digitalisation at universities across Europe as part of the European Student Card Initiative and thus reduce the associated administrative burden.

This facilitates and promotes cooperation and academic exchange between universities in EU member states and in third countries associated with the programme. One project of the European Student Card Initiative is Erasmus Without Paper (EWP).

Erasmus Without Paper

EWP covers the entire student life cycle: the EWP network enables simple and secure data exchange between domestic and foreign universities.

For example, a digital Transcript of Records (ToR) will make it easier for universities to transfer students' examination results to each other in the future.

Implementation of the EWP digitalisation project

The University of Applied Sciences Potsdam is gradually implementing the university-wide digitalisation project EWP: the university has been a member of the EWP network since 2020. It uses the Mobility-One software solution from SOP. The university is already successfully exchanging inter-institutional agreements.

The next step will be to implement the digital processing of Learning Agreements. Employees and students will be able to use this service function in 2023/2024.

Service functions: Requirements & Outlook

A prerequisite for the implementation of all service functions is the existence of stable interfaces.

Further service functions, such as the Transcript of Records as well as nominations and acceptances, will therefore gradually become available to employees and students of the University of Applied Sciences Potsdam and throughout Europe in the course of the digitalisation of the entire mobility lifecycle during the Erasmus+ programme generation 2021 – 2027.

Added value EWP for members of the University of Applied Sciences Potsdam

Erasmus Without Paper (EWP) will make day-to-day work easier for staff in the International Office, Student Administration and the Central Examination Service. EWP will make it easier for students to organise a study visit to another European university.

EWP added value at a glance:

  • EWP enables a simple and secure exchange of data on Erasmus+ mobilities between domestic and foreign universities via the EWP network; reduces the administrative burden.
  • EWP offers smooth transmission of examination results via a digital Transcript of Records (ToR).
  • EWP enables the digital processing of Learning Agreements between students, the home university and the host university.

Project team & project management

Employees from Central IT, Student Administration, International Office, Central Examination Services as well as the Internationalisation Officers and Erasmus Officers in the departments are involved in the step-by-step implementation of EWP.
